Trash feature in Uspacy: How does it work?

In this article, we’ll explain where to find the Trash, what features it offers, who can use it, and how to move elements into it

The trash is a temporary storage for deleted entities and tools within your Uspacy Workspace.

If you accidentally delete a task, deal, activity, or smart object element, it will be stored in the Trash for a certain period and can be recovered.

This is convenient, secure, and helps prevent permanent loss of important information.

How to access the Trash?

Go to Settings and select Trash. A page will open where you can manage deleted entities and Workspace tools.

💡 Only the owner and the Space administrator have access to the Trash.

Trash features

Uspacy does not have a single, universal Trash. Instead, each tool and entity—such as Deals, Leads, Tasks, and Activities—has its own dedicated Trash. This allows flexible management of deleted data within specific sections.

Currently, the following entities/tools have individual Trash:

  1. Tasks
  2. Activities
  3. Within CRM, each entity separately:
  4. Leads
  5. Deals
  6. Contacts
  7. Companies
  8. Within Smart Objects: each Smart Object you create has its own trash.

To access the trash of a specific tool or entity, use the selector (switcher).

Appearance

If you open the Trash for a section where no deletions have occurred yet, you’ll see a message saying it’s empty.

If deletions have been made, you’ll see a list of elements with details:

  • ID – a unique identifier automatically assigned to each element in the system (task, deal, activity, etc.). It remains unchanged even after edits or deletion.
  • Name – the main textual identifier of the element in the system.
  • Deleted by – the user who deleted the element.
  • Person responsible – the user assigned to the element.
  • Deletion date – when the element was moved to the Trash.
  • Creation date – when the element was initially created in the system.

You can configure which object attributes are displayed in the Trash and show only the ones you need.

You can also rearrange columns by dragging a special icon with the left mouse button.

Adjust column widths by dragging the divider.

Sort by Name, Creation date, or Deletion date.

💡 By default, elements in the Trash are sorted by deletion date, with the most recent at the top. Elements are displayed starting with the most recently deleted — first those removed today, then yesterday, and so on. This helps quickly find recently deleted elements.

If there are many elements in the Trash, use the option to select how many rows are displayed per page.

Above the list of deleted elements, there’s a search bar and a set of standard filters.

These can help you find specific elements and either restore them or permanently delete them.

How to move data to the Trash?

To move an element to the Trash, simply use the Delete action from the interaction menu of the relevant tool/entity, or through mass actions (e.g., for tasks).

After confirming the deletion, the element doesn’t disappear permanently—it first goes to the Trash of its corresponding section.

From there, the element can be restored or permanently deleted.

For example, if you delete an activity, you’ll find it in the Activities Trash.

Likewise:

  • Deals go to the Deals Trash.
  • Leads go to the Leads Trash, and so on.

Deletion specifics

🟣 Only entities that have a Trash will send elements there. You can see them in the selector. For example, Products and Newsfeed posts do not have their own Trash.

🟣 Elements are deleted as whole entities. You can delete a Deal and find it in the Deals Trash. However, if you delete a note or document within a Deal, it will be removed from the system immediately (it won’t go to the Trash).

Actions with elements in the Trash

You can manage deleted elements in two ways:

🟣 Restore elements: You can restore any element. It will return to its original section in the state it was before deletion.

🟣 Permanently delete elements: If you no longer need the deleted elements in a particular entity/tool, use the Empty trash option. This will permanently remove all elements without the possibility of recovery.

You can also delete individual elements, if needed.
