Success stories of Uspacy implementation in the companies of our clients: Agency for Industrial Development "Made in Ukraine"
What do startups and government projects have in common? Both want to emulate each other: startups aspire to be systematic and scalable, while government projects seek to be flexible and dynamic. When these aspirations match, they become efficient.
Uspacy was chosen by the Agency for Industrial Development "Made in Ukraine" as the internal platform to support the processes of the National Cashback Program. We decided to find out what exactly enabled the successful implementation of our product in a government project.

How the decision was made
The management of JSC has several years of experience working in government institutions focused on creating transformational products. In their work, they rely on basic principles of project management:
- Tasks, not requests
- Clear descriptions and technical specifications, not opinions
- Deadlines, not uncertainty
- Responsible employees, not discussion groups
This approach allows for the support and engagement of key people in the implementation process, making the work systematic. Along with this, there is a demand for immersion in the world of project management, with its roadmaps, backlogs, prioritization, planning, statuses, deadlines, KPIs, and OKRs, among other things.
When the process of establishing a joint-stock company responsible for implementing the comprehensive state policy "Made in Ukraine" was initiated in the Ministry of Economy of Ukraine, the demand for systematic processes emerged immediately.
At the first stage, the organization of basic task management processes was initiated, including:
- сreating a list of employees and defining their areas of responsibility;
- distributing and tracking the status of tasks;
- planning and tracking of working time;
- organizing work communications and interaction within the team.
The project team analyzed available solutions on the market, ranging from simple kanban boards to advanced project management systems. It became clear that a simple functional system was needed. The comprehensive capabilities of complex solutions can undoubtedly be useful for the large corporate world. However, for dynamic teams, it’s essential to maintain a balance between product capabilities, the speed of implementing changes, and flexibility.
"Made in Ukraine" is a comprehensive state policy aimed at supporting Ukrainian manufacturers and strengthening the country's economy. Therefore, a focus was placed on Ukrainian solutions that would serve as a platform for organizing the internal processes of the project. The decision was made quickly, and the "Made in Ukraine" team chose Uspacy.

Starting the implementation of Uspacy
At the very beginning, the company structure was created, a list of employees was formed, and separate projects were organized by direction within groups.

The main tool for the "Made in Ukraine" team became Tasks, where collaborative work on tasks, subtasks, and a clear understanding of the overall picture of all processes, deadlines, and responsibilities is now conducted. The display of task statuses in a board format (kanban) became convenient for visualizing process dynamics and performance.

The second stage of implementation
The second stage focused on implementing a full-fledged CRM system. During the launch of the National Cashback Program website (madeinukraine.gov.ua), one of the key tasks was to organize the collection of user feedback, particularly recording inquiries and detailing problematic cases.

After filling out the form and submitting the request, the processing is launched automatically. All stages of processing requests are monitored according to set criteria, taking into account the completion time, as well as distributing tasks among responsible managers, which creates a clear funnel for processing inquiries.

The official email of the Agency was also integrated with the CRM to process requests received via email. The integrated form and request processing system have become a key tool for the second line of support.

Working with leads in CRM Uspacy
Currently, an advanced third level of support is being developed based on the comprehensive integration of the request form and Leads CRM, including an incident log and processing at the level of interaction with the technical interfaces of the information and communication system (ICS).
